1. Who we are

Beamward is a commercial-management platform for UK specialist contractors, operated by Beamward Ltd, a company registered in England and Wales (Company No. 17542382), whose registered office is at 1711 High Street, Knowle, Solihull, England, B93 0LN ("Beamward", "we", "us"). This policy explains how we handle personal information when you visit our website, ask for a demo or join the beta, and use the Beamward platform.

Privacy and general enquiries: hello@beamward.co.uk. Customer support: support@beamward.co.uk.

2. Our role

For website visitors, demo and beta enquiries, and the administration of customer accounts, Beamward is the controller of the personal information.

When a customer company uses the platform to record its own projects, clients, contacts, commercial records, photos, documents and permits, that company generally decides what is entered and why. In that situation Beamward usually acts as a processor on the customer's behalf, and the customer's own privacy notice applies to the people whose details it records. The exact position can depend on the arrangement with each customer.

3. What we collect

Demo, beta and contact requests

Name, work email, company, job title, trade, turnover band, team size, how you manage commercial information today, your comments and the areas you are interested in (Beamward Commercial, HighwayDesk, Beamward Managed).

Account and identity

Email address, password (stored only in a securely hashed form by our authentication service), first and last name, job title, and — if you choose to sign in with Google — the basic profile details Google shares with us (name and email). We also record your company role and which modules you can use.

Company information

Company name, trading name, company number, VAT number, address, telephone, email, website, trade, turnover band, and commercial defaults such as retention percentage, VAT rate and payment terms.

Project, client and contact information

Project names, references, sites and dates; client companies; and the names, job titles, email addresses and phone numbers of contacts at those clients.

Commercial and financial records

Schedules of value, applications for payment, certificates and deductions, variations, invoices, payment records, retention records, tasks and notes. These are business records but may include the names of people involved.

Site changes, photos and documents

Site-change descriptions, uploaded photos and documents (such as instructions, drawings and certificates). Photos may show people or locations and may contain embedded information such as the time or place a picture was taken.

HighwayDesk permit information

Permit references, locations, works descriptions, dates, authorities, statuses and attachments.

Technical and security information

Sign-in events, an audit trail of key changes made in the platform (who changed what and when), and standard server and security logs kept by our hosting providers, which can include IP address, browser type and time of request.

4. Why we use it and our lawful bases

  • Providing the platform and managing accounts — to perform our contract with the customer, and our legitimate interest in running the service for authorised users.
  • Responding to demo and beta requests — our legitimate interest in responding to business enquiries and running a controlled beta.
  • Customer support — contract and legitimate interests.
  • Security, fraud prevention and keeping companies' data separate — legitimate interests and, where applicable, legal obligation.
  • Improving the product — legitimate interests, using feedback and service information. We do not use customers' commercial records for advertising.
  • Legal obligations — for example keeping business and tax records.

We do not sell personal information and we do not use it for third-party advertising.

5. Who can see it

Inside the platform, each company's records are visible only to authorised users of that company, according to their role and module access. Database rules enforce this separation between companies. Beamward staff access customer data only where needed to provide support, keep the service secure, or meet a legal obligation.

6. Service providers (subprocessors)

We use the following providers to run Beamward:

  • Lovable (Lovable Cloud) — website and application hosting, database, file storage and sign-in services. Lovable uses its own infrastructure providers to deliver these services.
  • Google — optional "Continue with Google" sign-in, and web fonts loaded from Google Fonts, which means your browser contacts Google's servers (sharing your IP address) when pages load.

We will update this list if we add providers.

7. International transfers

Some of our providers may process information outside the UK. Where that happens we rely on the safeguards those providers offer, such as UK adequacy regulations or approved contractual clauses. Details of hosting locations are being confirmed and will be stated here before commercial launch.

8. How long we keep it

  • Demo and beta enquiries: up to 24 months after our last contact, unless you become a customer.
  • Customer account and platform data: for as long as the customer's account is active, then deleted or returned in line with the customer agreement, except where we must keep records for legal reasons.
  • Security and audit logs: for as long as needed to protect the service and investigate issues.

9. Security

We use encrypted connections (HTTPS), hashed passwords, private file storage, role-based permissions and database-level separation between customer companies. No system is completely secure, so please keep your login details safe and tell us straight away if you think your account has been misused.

10. Your rights

Under UK data protection law you may have the right to access, correct or delete your information, to restrict or object to how we use it, to data portability, and to withdraw consent where we rely on it. If your details are held in the platform by a customer company, we may pass your request to that company. To make a request, email hello@beamward.co.uk.

You can also complain to the Information Commissioner's Office (ico.org.uk), though we would appreciate the chance to resolve your concern first.

11. Cookies

See our Cookie Policy.

12. Changes

We will update this policy as Beamward develops and will show the date of the latest version at the top of this page.
